These Terms & Conditions ("Terms") govern your use of the Willow Pond Venue website and your interactions with us through this website. By accessing or using this website, you agree to these Terms.
If you book an event with Willow Pond Venue, your signed venue rental agreement will govern the specific terms of that engagement. If there is a conflict between these website Terms and a signed venue rental agreement, the signed agreement will control with respect to the booked event.
1. Services
Willow Pond Venue provides event venue facilities for weddings, receptions, private celebrations, corporate gatherings, and other approved events.
Venue availability, rental rates, amenities, permitted activities, and other arrangements are subject to the specific details of each event and the applicable venue rental agreement. Information on this website is provided for general informational purposes and does not guarantee availability, pricing, or acceptance of a booking.
2. Inquiries and Bookings
Submitting an inquiry through our website, including our 17hats contact form, does not create a booking, reservation, or contractual relationship.
A booking is confirmed only after all requirements established by Willow Pond Venue have been completed, which may include a signed venue rental agreement, required payments, and other applicable documentation.
3. Payments
Payment amounts, due dates, deposits, retainers, installment schedules, late fees, and other payment obligations are governed by the applicable signed venue rental agreement.
Failure to make required payments may result in suspension or cancellation of a reservation as permitted by that agreement.
4. Cancellations, Rescheduling, and Refunds
Cancellation, rescheduling, postponement, and refund policies are governed by the individual venue rental agreement entered into for your event.
Refund eligibility, if any, may depend on the timing of cancellation, payments already made, expenses incurred, and other terms stated in the signed agreement.
5. Client Responsibilities
Clients are responsible for providing accurate and timely information relating to their event and complying with the requirements of their signed venue rental agreement. Depending on the event, responsibilities may include:

- Communicating changes, delays, or other material information promptly
- Coordinating vendors and ensuring compliance with applicable venue requirements
- Following venue rules, safety requirements, and property-use restrictions
- Obtaining permits, approvals, or insurance when required by the applicable agreement
- Meeting deadlines and obligations stated in the signed venue rental agreement
